Booking.com extranet: an owner's guide to daily tasks and what to stop editing once connected

An owner's guide to the Booking.com extranet: safe login, the menus you use, a daily routine, common fixes and where to make each change once Booking.com is connected to a PMS or channel manager.

Add Kiyo to your preferred sources on Google

The Booking.com extranet is the free online dashboard where you manage your property on Booking.com. You open it at admin.booking.com, or in the Pulse app on your phone. It holds your rates, availability, reservations, guest messages, photos, policies and invoices. If you connect a channel manager, some of those jobs move out of the extranet, and knowing which ones stops your rates from being overwritten.

This guide is for owners and managers of small hotels, guesthouses, villas and hostels. It is not a login page. It covers the menus you actually use, a 10-minute daily routine, the problems owners hit most, and a clear table of where each change belongs once you connect.

What is the Booking.com extranet used for?

Booking.com calls the extranet your property's "command center". In plain words, it is the back office of your Booking.com listing. Guests never see it. Everything they see on Booking.com comes from what you set here, or from a system connected to it.

Owners use it for four kinds of work:

  • Selling: rates, open dates, rooms for sale and booking rules.
  • Guests: new reservations, changes, cancellations and messages.
  • Listing: photos, facilities, policies and room details.
  • Money and quality: invoices, payouts and guest reviews.

You can read Booking.com's own overview on its extranet page for partners. Menu names change over time, so look for the closest match if a label is different.

How do you log in to the Booking.com extranet safely?

Booking.com says to sign in at admin.booking.com with your username and password. You then confirm a code, called two-factor authentication (2FA). The code comes by text message to your saved phone number, or from the Pulse app. Booking.com's login help page explains each step.

Follow four rules from day one:

  1. Never share one login. Booking.com advises against it. The 2FA code goes to the phone of the account owner, so shared logins break anyway. An admin user can give each staff member their own access.
  2. Keep a backup phone number. Add a second number for 2FA, so you are not locked out if one phone is lost.
  3. Protect the primary account. Only the primary account holder sees sensitive finance details and legal documents. Keep that account with the owner.
  4. Log in now and then. Booking.com says an account unused for more than six months can be locked, and one unused for 24 months can be disabled.

When a staff member leaves, remove their extranet access the same day. Do the same in every other system they used. Our staff system access checklist covers the full list.

Which extranet menus does an owner actually use?

Most small properties live in a handful of menus. Here is what each one is for.

  • Rates & Availability. The calendar where you open or close dates, set prices and add booking rules such as a minimum stay. Rate plans live here too. A rate plan is a price with its conditions, such as breakfast included or non-refundable.
  • Reservations. Every booking with dates, guest name, room and status. You can check changes, cancellations and no-shows here.
  • Property. Photos, facilities, policies and room details. This is what makes your listing look trustworthy.
  • Inbox. Messages from guests and from Booking.com. Booking.com includes built-in translation.
  • Guest reviews. Read reviews and reply to them.
  • Finance. Invoices, statements and payout details. This is where you see what Booking.com charges you and what it pays you.

On the Pulse app, you can do many of the same daily tasks from your phone: bookings, availability, messages and performance.

Your 10-minute daily extranet routine

A short routine at the same time each day catches most problems early. If Booking.com is connected to a PMS (property management system) or channel manager, some of these checks happen there instead.

  1. Check new reservations. Open Reservations and look at everything since yesterday. Confirm each one is also in your own calendar or booking book.
  2. Check changes and cancellations. A changed date or a cancellation must be updated everywhere you sell.
  3. Answer messages. Reply to every guest message in the Inbox. Quick answers prevent bad surprises at check-in.
  4. Look at today and tomorrow. Are the rooms you have open correct? Close any room that cannot be sold, such as one under repair. If you are connected, close it in your connected system.
  5. Read new reviews. Note any complaint that repeats. Reply calmly and briefly.
  6. Check notifications. Booking.com sends notices about policies, missing information or connection errors. Read them, do not skip them.

Bookings you take by WhatsApp, phone or walk-in are the biggest risk here. If they are not entered right away, the same room can still be sold online.

Weekly and monthly extranet tasks

Some jobs do not need daily attention, but they do need a fixed slot.

Every week:

Every month:

  • Check invoices and payouts in Finance, and match them with your own booking list.
  • Review photos and room descriptions. Replace anything outdated.
  • Re-read your policies: cancellation, children, extra beds and pets. Our cancellation policy template can help.
  • Review staff access. Remove anyone who no longer needs it.

Where to edit once connected: Kiyo or the extranet?

This is where most owners get stuck. When a PMS or channel manager is connected to Booking.com, it becomes the main place for some jobs. Booking.com says so in its own calendar guide: if you use a connectivity provider, use its software to avoid overwriting changes. Booking.com also removes the bulk edit option in the extranet calendar for connected properties.

This guide is about working inside the extranet. If you have not connected yet, our Booking.com channel manager guide covers the connection steps.

Use this table as your rule once Booking.com is connected to Kiyo.

The simple rule: prices and booking rules live in one system only. If you change them in two places, you will lose track of which one is right.

Common extranet problems and how to fix them

"I can't log in." Use "Having trouble signing in?" on the sign-in page to recover your username or password. If the 2FA step fails, choose "Unable to verify?" and follow the steps. Booking.com says to type admin.booking.com straight into the address bar if you see errors.

"My property doesn't show for some dates." Booking.com lists four checks: the rooms are in your inventory, they are open for booking, they have an open rate plan, and each rate plan has a price.

"My rates change back after I edit them." You are probably connected. The next update from your PMS or channel manager replaces the extranet edit. With Kiyo, that happens at your next Push to OTAs. Change the rate in the connected system instead.

"Bulk edit is missing." That is normal for connected properties. Booking.com removes it so your provider does not overwrite bulk changes.

"A booking went to the wrong room." This is usually a mapping problem. Check that each Booking.com room type and rate plan is linked to the right room in your system. In Kiyo, a booking for an unmapped room or rate raises an alert. Our channel manager setup checklist walks through mapping.

"I changed something and it isn't showing yet." Booking.com says saved calendar updates can take a couple of minutes to appear. Refresh before you change it again.

How does Kiyo work with Booking.com?

Kiyo connects to Booking.com as your channel manager. The split is simple: you set rates and booking rules in Kiyo, and you manage photos and content in the extranet. For the connection itself, see our Booking.com channel manager guide.

  • Push to OTAs. Edit rates, CTA, CTD, stop sell and minimum or maximum stay in Kiyo. They go to Booking.com when you click Push to OTAs and confirm. Kiyo reminds you about edits you have not sent, but it never pushes on its own. After your first push, check a few dates in the extranet calendar.
  • Map rate plans once. Each Kiyo rate plan is mapped one time to its Booking.com rate. After that, changes follow the same push.
  • Bookings come in. New, changed and cancelled Booking.com bookings arrive in Kiyo. To change or cancel one, use the extranet.
  • Instant lock. When a guest books on any channel, the room locks on all connected channels within milliseconds. Guest details arrive when payment is confirmed, and the room is held in the meantime, shown as "payment pending" in the dashboard.
  • Messages and reviews both ways on Pro and higher plans. Read and reply to Booking.com guests, and reply to reviews, from Kiyo. This works for Booking.com, Airbnb and Expedia only.
  • 75+ booking channels and unlimited team seats on every plan. If a connection fails, you are notified, and Kiyo gets an instant alert too.

The only double-booking risk we name is a booking taken outside Kiyo, by WhatsApp, phone or walk-in, that is not entered right away. Enter it at once and the room closes everywhere. For the bigger picture, see how to stop double bookings.

Kiyo is live and open to all properties. We set it up with you over WhatsApp or a demo call. Plans start from Rp40k per room per month; the pricing page slider shows your exact price.
