What can a channel manager control on Booking.com?
A channel manager can send your rates and open rooms to Booking.com and bring bookings back. Booking.com calls this kind of tool a "connectivity provider". When you connect one, Booking.com lets you pick which jobs it takes over.
According to Booking.com's guide to working with a connectivity provider, these can include:
- Rates and availability: your prices and open rooms.
- Reservations: new bookings, changes and cancellations.
- Content and photos: only with some providers.
- Guest messages: chat with your guests.
Most small properties start with rates, availability and reservations. Ask your provider which of these it supports before you connect.
What should you prepare before you connect?
Get your house in order first. A messy setup on Booking.com becomes a messy setup in your channel manager.
| Prepare | Why it matters | Quick check |
|---|
| Room types | Each one needs a match | Same names and number of rooms in both places |
| Rate plans | Each plan you sell must be mapped | List every plan, such as standard, non-refundable, with breakfast |
| Guest numbers | Prices often change by guests | Max guests per room match in both places |
| Future bookings | The channel manager must know what is sold | Every booking from every channel is in one calendar |
| Old rates | Unused plans cause confusion | Close or remove plans you no longer sell |
| One owner | Someone must sign off the setup | Name one person who checks the tests |
How do you map Booking.com rooms and rates?
Mapping means matching each Booking.com room and rate to one room and rate in your channel manager. Do it one to one. One Booking.com room type should match one room type in your system.
Booking.com explains that every room or unit has an ID number you can use for mapping. It also says new rooms or rates you add later must be mapped too. Some channel managers map new ones for you, and some do not. See setting up rooms on your channel manager.
Follow these steps:
- Map every room type. Check the number of rooms matches.
- Map every rate plan you sell. A plan you forget will not update.
- Check guest numbers. A double room priced for 2 guests should not show for 4.
- Load availability through the channel manager. Not through Booking.com directly.
- Write down any setting that stays on Booking.com. For example photos or policies, if your provider does not manage them.
Booking.com's own sync help page gives a clear reason to map carefully. A booking for a room or rate your provider has not connected yet may not show in your system.
Which tests should you run first?
Run these tests on quiet dates, a few months ahead. Write down each result.
- Close one room for one night in the channel manager. Check Booking.com shows it closed.
- Open it again. Check it comes back.
- Change one price on one date. Check every rate plan on Booking.com shows the right price.
- Change a minimum stay for one weekend, if you use them. Check Booking.com shows the rule.
- Find a real upcoming booking. Check it sits on the right room, dates and guest count.
- Close the last room of a type. Check that room type shows as sold out.
If a test fails, stop. Fix the mapping before you open more dates.
Which setup mistakes leave a room open?
Most problems after go-live come from small setup gaps. Each one is easy to fix once you know it.
| Mistake | What you see | Fix |
|---|
| A rate plan is not mapped | That plan shows an old price or old availability | Map every plan you sell |
| A new room type is added on Booking.com only | It does not update from your system | Map it before you open dates |
| Changes made on Booking.com after go-live | The two places disagree | Change rooms and prices in the channel manager only |
| A deal set up on Booking.com | The price looks different | Check deals when prices do not match |
| A phone or WhatsApp booking not entered | The room stays open online | Enter it before you confirm the guest |
Booking.com's help backs the third point. If your prices and availability are run by a provider, make changes in that provider's system so both stay the same.
The last row is the real double-booking risk. Your channel manager can only close rooms it knows about. Bookings taken outside it, by WhatsApp, phone or walk-in, must go in straight away.
What happens after a guest books on Booking.com?
In Kiyo, availability locks instantly; guest details arrive when payment is confirmed; the room is held in the meantime. As soon as the guest books, that room closes on every connected channel. The name, email, phone and payment can follow later. That can take minutes, and sometimes hours.
In the meantime, the booking shows as "payment pending" in Kiyo. The room is held and safe. Do not sell it again. Wait for the guest details.
How does Kiyo connect Booking.com with your other channels?
Kiyo puts Booking.com, Airbnb, other OTAs, direct bookings and manual bookings on one calendar. The channel manager connects to 60+ channels on every plan, once each channel is connected and mapped. If a connection fails, you get a notice and the Kiyo team gets an alert at the same time. So we may spot it before you do. On Pro and Business, Booking.com guest messages sit in one inbox with Airbnb, Expedia, WhatsApp, Instagram, Facebook and Outlook.
Kiyo is live and open to all properties. We set it up with you over WhatsApp or a demo call, including the room and rate mapping above. Prices start from Rp40k per room per month (see plans and prices). To see how a PMS and a channel manager split the work, read our PMS vs channel manager guide.
Frequently asked questions
The request usually starts on the Booking.com side, where you pick your provider and the jobs it should handle. The provider then does the mapping. With Kiyo, we set it up with you.
Yes, for things your provider does not manage. For rooms, prices and availability, Booking.com says to make changes in your provider's system so both stay the same.
Booking.com says you stay connected to your old provider until the switch is complete. Enter all future bookings in the new system before the old one is turned off.
It depends on how many rooms and rate plans you have, and how tidy they are. A simple setup with few rate plans is faster to map and test.
