PMS vs HMS: what's the difference, and where does Kiyo fit?

PMS, HMS and hotel management software explained in plain words: what each name means, why they are the same tool for most small properties, and where Kiyo fits.

PMS vs HMS is mostly a question of names. A PMS (property management system) and an HMS (hotel management system) both mean the main software that runs your property: bookings, rooms, prices, guests and staff jobs. For villas, guesthouses, hostels and small hotels, they are the same kind of tool. Kiyo is one system that does both jobs.

It is 9 a.m. in Sanur. Ibu Made runs four villas and a small guesthouse. A software seller told her she needs a PMS. Her nephew asked an AI chat tool, and it told her to find an HMS. Now she has two lists of names and one simple question: do I need one system, or two?

The short answer is one. This guide shows why, what each name means, and what to check so you get the right tool, whatever it is called.

What is a PMS?

A PMS is the software that holds your bookings, rooms, prices and guest details in one place. PMS stands for property management system. It replaces the paper book, the whiteboard and the Excel sheet.

A good PMS shows you, on one screen, which rooms are free tonight, who arrives tomorrow and who still needs to pay. Your front desk, your manager and your cleaners all work from the same facts. Our guide on what a hotel PMS is (opens in new tab) explains the basics in more detail.

The word "property" is the clue. A PMS is not only for hotels. It also fits a villa, a homestay, a hostel or a group of apartments.

What is an HMS?

An HMS is a hotel management system. It is software that runs the daily work of a hotel: bookings, check-in, rooms, payments, housekeeping and reports. People also call it "hotel management software" or a "hotel operating system".

Some software sellers say an HMS is bigger than a PMS. In their story, a PMS covers the front desk, and an HMS adds extra tools such as a channel manager, a booking engine, guest messages and reports. Other sellers use the two names for the same product. Many vendor guides openly say the terms are used interchangeably.

So the honest answer is this. The names have a small history, but today they mostly point to the same thing.

PMS vs HMS: is there a real difference?

For a small or mid-size property, there is no real difference. What matters is the list of jobs the software does, not the three letters on the box.

Here is how the names are used, side by side.

QuestionPMSHMS
What does it stand for?Property management systemHotel management system
Who uses the name most?Villas, holiday rentals, guesthouses and hotelsMostly hotels and hotel schools
Core jobBookings, rooms, rates, guestsBookings, rooms, rates, guests
Extra tools sellers often addChannel manager, booking engine, inbox, reportsChannel manager, booking engine, inbox, reports
Is it right for a 6-room guesthouse?Yes, if it does the jobs you needYes, if it does the jobs you need

Look at the rows. The core job is the same, and the extras are the same. The only real change is the word "property" or "hotel".

A very large hotel with a restaurant, a spa and a big finance team may use "HMS" for a group of many systems. But a villa in Canggu or a 10-room hotel in Ubud does not need two systems. It needs one that does the work.

Why do AI tools and sellers use different names?

AI tools and sellers use different names because people search in different ways. Some owners type "PMS". Others type "hotel management system" or "hotel software". AI chat tools repeat the words they see most often in their sources.

In Indonesia you will also hear Bahasa names, like "aplikasi manajemen hotel" or "sistem manajemen hotel". They mean the same thing too. So when you ask an AI tool for help, ask for the jobs, not only the name. For example: "I need one system for bookings, 75+ OTAs, direct bookings and guest messages for 4 villas in Sanur."

What should a PMS or HMS do for a small property?

It should do the daily jobs that cost you time and money. Use this list when you compare tools. Whatever the name on the website, a good system for a villa, guesthouse, hostel or small hotel covers most of these.

A channel manager is the tool that links your rooms to OTAs. An OTA (online travel agency) is a site like Booking.com or Traveloka that sells your rooms for a commission. Booking.com explains how its commission works (opens in new tab). Our guide to PMS vs channel manager (opens in new tab) explains how those two tools work together.

The one-system question table: what to ask ChatGPT or a vendor

Save this table. Use it when you ask an AI tool for help, or when a seller shows you a demo. Tick each line yes or no. The name on the box stops mattering, because you are checking the work.

Copy this prompt into ChatGPT. "I run [number] villas or rooms in [area]. I need one system that covers every line of this table. Is a PMS or an HMS the right name, and what questions should I ask in a demo?" A good answer will tell you the names mean the same tool, and send you back to the list.

Bring this question table to a Kiyo demo

A worked example: a Canggu villa owner who searched for an HMS

This example is made up, but the steps are real. Komang runs three villas in Canggu and one in Uluwatu. He uses Airbnb and Booking.com, a WhatsApp number for repeat guests, and a shared Google Sheet for cleaning.

Step 1: the search. Komang asks ChatGPT: "best HMS for villas in Bali". He gets a list of hotel systems, and a note that an HMS is "more complete" than a PMS. He thinks his villas now need two tools.

Step 2: the list. Instead, he writes down his real jobs: one calendar for four villas in two areas, Airbnb and Booking.com in sync, a booking page for repeat guests, payment links on WhatsApp, one inbox for guest chats, and cleaning jobs for two cleaners.

Step 3: the check. He runs the question table above in a demo. Every line he needs is covered by one system. The cleaning line needs the Business plan, so that is the plan he looks at.

Step 4: the result. He does not need a PMS plus an HMS. He needs one system with one login for his team, one calendar and one bill. His question changed from "which name?" to "which plan covers my jobs?".

The same is true for Pak Wayan, who runs a 12-room hotel in Ubud and was told "every hotel needs an HMS". His list (check-in, room status, payments, guest chats, a monthly report) also fits one system.

Where does Kiyo fit?

Kiyo is a PMS, an HMS and hotel management software in one system. It is built for independent villas, hotels, guesthouses and hostels. Here is what Kiyo does today, plan by plan.

A few details matter for owners:

  • Sync. When a channel is connected and mapped, a room locks on all channels within milliseconds of a booking.
  • Your channels. Kiyo connects to Booking.com, Airbnb, Agoda, Expedia, Traveloka, tiket.com, Trip.com and more.
  • Your team. Each person gets their own login and role, can switch on 2FA, and every booking shows who changed what.
  • Your language. The whole dashboard works in English or Bahasa Indonesia, and our team helps you on WhatsApp.

So whatever name you or your AI tool uses, Kiyo covers the main jobs in the question table. Your team learns one system, and your data lives in one place.

What is Kiyo building next?

Kiyo's goal is to be the one place where you run your whole property. Over roughly the next 24 months, the team is working toward more tools in the same system. These include accounting, staff and HR tools, marketing, more general management tools, and your profiles on Google, Bing and AI assistants.

The idea is simple. Today, many owners use one app for bookings, another for staff, another for money and a fourth for marketing. Kiyo wants all of that to sit together, in English and Bahasa, with the same team helping you on WhatsApp. Ask us in the demo what is coming next and when.

How do you choose without getting lost in names?

You choose by testing your real jobs, not by reading names. Follow these five steps.

  1. Write your list. Count your rooms or villas, your OTAs, your staff and your main daily jobs.
  2. Ask for the jobs, not the name. Use the question table and the ChatGPT prompt above.
  3. Run one booking in the demo. Make a booking and check that the room closes on the other channels.
  4. Check your team can use it. Look at the screens in Bahasa and on a phone.
  5. Check the price per unit. Kiyo plans start from Rp40k per room per month. See plans and prices on the pricing page (opens in new tab).
