What does an Airbnb channel manager sync?
A channel manager sends your open nights and prices out to each connected channel. It also brings new bookings back into one calendar. A channel is any place that sells your rooms: Airbnb, an OTA (online travel agency, like Booking.com or Expedia) or your own website.
Airbnb explains the basic idea in its help pages. Once your software is connected, rates and availability on Airbnb are synced through your software provider. The same page warns that promotions or discounts you set directly on Airbnb will not show in your software.
Here is what to expect, and what to check for each item.
| Item | What it means | What to check |
|---|
| Availability | Which nights are open or closed | A night you close in the channel manager closes on Airbnb |
| Prices | Your nightly rate per date | A price change on one date shows on Airbnb |
| Stay rules | Minimum nights, check-in days | Ask which rules your tool sends to Airbnb. Not every rule works on every connection |
| Reservations | New bookings, changes, cancellations | Each Airbnb booking lands on the right unit and dates |
| Guest messages | Chat with the guest | Some tools let you reply to Airbnb guests in one inbox |
Which tool should be the boss of your calendar?
Pick one tool and make every change there. That tool is your "source of truth". If you change prices in the Airbnb app and in your channel manager, the two will fight. You will not know which price is live.
So after you connect, set a simple rule for your team:
- Prices, open nights and closed nights change only in the channel manager.
- Airbnb discounts and promotions are set on purpose, written down, and checked each month.
- Nobody blocks a date "just for now" in the Airbnb app.
What should you map first?
Mapping means matching each Airbnb listing to one room or unit in your channel manager. Get this right before anything else. A listing matched to the wrong unit will close the wrong calendar.
- List every unit you sell. A whole villa sold as one booking is one unit. A hotel sells by room type, such as "Deluxe Double".
- Match one Airbnb listing to one unit. Two listings for the same apartment is a common trap. Both must close when either one sells.
- Pick the rate for each listing. Decide which price plan Airbnb should show.
- Set stay rules. Minimum nights and allowed check-in days.
- Write down what stays on Airbnb. Some settings, like house rules or listing photos, may still live in Airbnb. Note them so nobody hunts for them later.
Do you sell one villa as a whole and also room by room? That needs careful setup, because one booking must close the other. Ask to see it working in a demo before you connect.
In what order should you connect Airbnb?
Go slowly and in this order. Each step makes the next one safer.
- Clean your calendar. Enter every future booking from every channel. Include WhatsApp, phone, email and walk-in guests.
- Connect your Airbnb account. Airbnb's steps are simple. You grant your software permission, then pick the listings to manage. See how to connect your software to Airbnb.
- Connect existing listings, do not create new ones. Airbnb says connecting existing listings keeps your content and reviews and avoids duplicates.
- Map each listing. Follow the mapping list above.
- Send rates and availability. Then open Airbnb and compare it against your channel manager.
- Add the next channel. Only connect Booking.com or another OTA once Airbnb passes every check below.
Which checks prove the sync works?
Do these checks on quiet dates, far in the future. Write down what you see.
- Close one night in the channel manager. Refresh Airbnb. That night should be closed.
- Open it again. It should come back on Airbnb.
- Change one price for one date. Check Airbnb shows the new price.
- Change a minimum stay for one weekend. Check Airbnb accepts it. If it does not, note that rule as "set on Airbnb".
- Look at your latest Airbnb booking. Check it sits on the right unit, dates and guest count in your calendar.
- Check a second channel. After Airbnb, connect one more channel and repeat the close and open test.
What about bookings that do not come from Airbnb?
Bookings you take by hand are the biggest gap. A connected channel manager can only close nights it knows about. If a guest books on WhatsApp, by phone or at the door, the night stays open online until someone enters it.
Make one house rule: no booking is confirmed until it is in the calendar. Then the channel manager closes that night on Airbnb and every other channel. Our guide to stopping double bookings covers more checks for your team.
What does "payment pending" mean after an Airbnb booking?
In Kiyo, availability locks instantly; guest details arrive when payment is confirmed; the room is held in the meantime. When a guest taps "Book now", that night closes on every connected channel. The guest's name, email, phone and payment can follow later, once payment clears. That can take minutes, and sometimes hours.
While you wait, the booking shows as "payment pending" in Kiyo. The room is safe and held. Do not sell it again or move it. Just wait for the details to arrive.
Should a hotel connect Airbnb at all?
Many small hotels and guesthouses now sell some rooms on Airbnb. It can bring a new type of guest. It also adds one more calendar to watch, so connect it only with a channel manager. If you are still deciding, read should hotels list on Airbnb. If you already list, see how to improve Airbnb listing visibility.
How does Kiyo connect Airbnb with your other channels?
Kiyo puts Airbnb, other OTAs, direct bookings and manual bookings on one calendar. The channel manager connects to 60+ channels on every plan, once each channel is connected and mapped. Every plan also includes a full Airbnb management dashboard. On Pro and Business, you can reply to Airbnb, Booking.com and Expedia guests from one inbox, next to WhatsApp, Instagram, Facebook and Outlook.
Kiyo is live and open to all properties. We set it up with you over WhatsApp or a demo call, including room, rate and channel mapping. Want to see the sync work first? Ask for a live last-room test, where one booking closes the other channels. Prices start from Rp40k per room per month (see plans and prices). Frequently asked questions
If Airbnb is your only channel, you may not need one yet. Once you add a second channel or take WhatsApp bookings, one calendar saves time and stops missed dates.
No. A calendar link only blocks dates. Airbnb says imported calendars update every 3 hours unless you refresh them. A connected channel manager also sends prices and stay rules, and brings bookings into one calendar. For more on how Airbnb's calendar links work, read our guide to Airbnb calendar sync with Booking.com.
You can, but try not to. Airbnb says discounts set directly on Airbnb will not show in your software. Make price changes in one tool so you always know which price is live.
Airbnb says you can connect existing listings to keep your content and reviews. Connect the listings you already have instead of creating new ones.
Not always. It depends on the connection and the rule. Test each rule you use, such as minimum nights, and note any that you still set on Airbnb.
