Vacation rental software is the system that keeps your villa or apartment bookings, calendar, guest messages and (often) direct bookings in one place. For 1 to 3 units, you do not need a giant hotel stack. You need a short list of jobs done well: one calendar, connected channels, clear guest info, and a clean handoff to whoever turns the property over.

No ranking table follows. If a product fails checks 1 to 3, stop. The rest will not save a broken calendar.

How should the calendar and channels work?

  2. What happens when Airbnb confirms a stay? When does the other channel close that night?

How do guest messages and cleaning handoffs fit?

Short-term guests message about keys, scooters, and late arrivals. Your software should keep the stay next to the conversation, or at least make the next arrival obvious.

On smaller setups, WhatsApp may stay outside the PMS at first. That is fine if one person owns replies. It fails when three people answer from three phones. Cleaning needs timing more than fancy task boards. Your cleaner must know who leaves and who arrives next. A calendar that shows check-outs and arrivals already helps. What about payments and direct booking?

Direct booking means the guest reserves with you, not only through an OTA. For villas, that often starts as a WhatsApp hold, then moves to a booking page when you are ready.

Check:

  • Can guests see live availability on a page you control?
  • Can you send a payment link in rupiah with methods you use (card, QRIS, transfer), depending on what is configured?
  • Are confirmation emails editable?

Keep reporting humble. You need occupancy, revenue by date, and which channel brought the stay. Fancy forecasts can wait.

Ask:

  1. Can I see last month by villa?
  2. Can I export or print a simple owner update if a partner asks?
  3. Can I set dated rates by hand on a rate calendar for busy weekends?
