Should you self-clean, hire a freelancer, or use a company?
Pick the model that matches your week, not a generic "best" answer. Many owners of one villa start by cleaning themselves. They move to a freelancer when same-day turns stack up. A company helps when you run several units or travel often.
| Option | Best when | Watch-outs |
|---|
| Self-clean | One unit near you; few same-day turns | You become the bottleneck on every checkout |
| Freelance cleaner | 1 to 3 villas; you want one trusted person | Backup plan needed when they are sick or on leave |
| Cleaning company | 3+ units or you live off-island | Less personal control; confirm who actually shows up |
Airbnb expects listings to be clean before every check-in and cleaned between stays. See Airbnb's host help on preparing your space and its cleaning guidance for hosts. Who does the work is your choice. The standard is not optional.
If you also list hotel rooms on Airbnb, the same hiring logic applies. Guests still judge the clean, not your org chart. Our guide on whether hotels should list on Airbnb covers the listing decision.
How do Airbnb cleaners usually get paid?
Three pay models show up most often in Bali and similar markets:
- Per turnover. A fixed fee each time a unit is cleaned after checkout. Clear for same-day turns. Works well when occupancy swings week to week.
- Per hour. Useful for deep cleans or long stay resets. Harder to control on a normal turnover if the clock runs long.
- Monthly retainer. A set fee for a block of visits or for exclusive availability. Good when you want one cleaner on call. You still need a rule for extra same-day turns above the retainer.
Agree in writing: what is included, what costs extra (heavy kitchen grease, pet hair, broken glass), and when payment happens. Many owners pay after photo proof, same day or weekly. Keep receipts and record cleaner pay in your usual books.
Spare linen matters here. A per-turnover fee assumes the cleaner can reset beds without waiting for laundry. Keep one spare full set per bedroom so rainy-season outdoor delays do not block the indoor clean.
How do you schedule cleaners around checkout and same-day arrivals?
Start from the calendar, not from memory. Each morning, list who checks out and who arrives. Confirm access time after the guest leaves. In Bali, 11:00 to 14:00 is a common window. Three hours is tight when laundry and outdoor work compete.
A simple daily script:
- Night before: send the cleaner tomorrow's checkout and arrival times.
- After checkout: cleaner confirms they are inside.
- Mid-clean: flag any damage or missing items.
- After clean: send photo proof and a ready note.
- Before arrival: you or the front desk confirm keys and Wi-Fi card are in place.
Rainy season in Canggu often delays outdoor bathrooms and pool decks. Tell the cleaner which indoor tasks come first so the guest can enter while the deck finishes drying.
Before you message anyone, confirm the booking list for the day. Our guide to checking hotel bookings before arrival covers that morning check. If a room needs repair, mark it out of service instead of sending a cleaner into a broken AC. See hotel room out-of-service control.
How can you check quality without being on site?
You need proof and a shared list. Do not rely on "it looked fine".
Use three tools together:
- A written room-by-room checklist the cleaner ticks. Keep it short enough to finish in a real turnover.
- Photo proof after every same-day turn: bedroom, bathroom, kitchen, outdoor area, and the key tray.
- A random owner walk-through once a week or every few stays, timed after a clean and before the next guest.
Talk about misses with facts. "Bathroom photo still shows a wet mat" works better than "you always rush". If quality drops twice in a row, pause new bookings for that unit until you trust the clean again.
WhatsApp is the usual channel for cleaners in Bali. Keep guest chats separate from cleaner chats. Our WhatsApp guest messaging guide covers guest-side rules. For cleaners, use a dedicated group or team chat so checkout alerts do not mix with guest questions.
Shift handovers at a small hotel are a different routine. They cover desk coverage and open messages. See the hotel front desk handover checklist. This page stays on who cleans the unit between stays.
How do you handle access, keys and trust?
Give only the access the cleaner needs. Common setups:
- a lockbox code that changes after each housekeeper change;
- a spare gate remote kept at the property, not taken home;
- scooter keys placed on a fixed tray after every clean;
- a written rule: never take guest belongings, never use the pool, never invite friends.
Start with a paid trial clean while you are nearby. Watch how they strip linen, separate pool towels, and leave the key tray. Agree what happens if something is damaged or missing. Trust grows from repeated clean turnovers, not from a long first chat.
If you manage several villas, keep a key log. Note who holds which remote. When a cleaner leaves, change codes the same day.
What can software do, and what can it not do?
Software can show who checks out and who arrives next. It can give a cleaner a login. It can hold an internal chat for the team. It cannot mop a floor, wash linen, or pay wages.
Be honest about tools:
- Calendar of check-outs and arrivals: useful on any plan once bookings are synced.
- Cleaner login (unlimited team seats): available on every plan when you assign a seat.
- Team conversations: Pro and Business.
- Housekeeping module: Business only. Not on Starter or Pro.
- Cleaner payroll: not in Kiyo. Pay cleaners outside the system.
Do not buy software hoping it will invent a cleaning team. Hire the person first. Then give them the dates and a checklist.
Where does Kiyo help when you manage cleaners?
In Kiyo you can time cleaners from the calendar and give the team a shared login path.
When bookings are synced, the calendar shows check-outs and next arrivals. That is the list you send the night before. A cleaner can have their own login. Team conversations on Pro and Business keep cleaner chat separate from guest threads. Business is the full property setup when you want housekeeping next to the stay.
Open the demo and try giving a team member a seat. Then look at the calendar for a busy same-day turn. That is the operating picture most owners need before they message a cleaner at 11:15.
Frequently asked questions
Rates vary by villa size, location, and whether linen laundry is included. Many owners pay per turnover for a one-bedroom villa and add a fee for extra bedrooms or a heavy kitchen. Ask for a written quote that lists what is in and what is out. Compare two or three options before you lock a monthly retainer.
A company is better when you need backup cover and several units. A freelancer is better when you want one person who knows your villa well. Many owners keep a primary freelancer and a backup number for peak weeks.
No. Be on site for the first few cleans and for random checks. Day to day, use photo proof, a checklist, and calendar timing. Visit when reviews mention cleanliness or when photos look rushed.
No. Software shows dates and can host team chat. The checklist is still a written list of physical tasks. Pair both: calendar for timing, checklist for the clean itself.
Have a backup person and spare linen ready. Message the next guest early if check-in must move. Do not open the listing for same-day arrivals until cover is confirmed.
